ERP data integration for SMEs: process, costs and five common pitfalls

Connect Bexio, Abacus, CRM, ecommerce and spreadsheets through clear data ownership and reliable interfaces.

By Ralph Heezen

A typical SME uses ERP, CRM, ecommerce, accounting and spreadsheets. Each works individually; problems arise between them through duplicate entry, outdated copies and conflicting figures. Integration addresses these handovers and supplies the foundation for dashboards, automation and useful AI.

What integration means#

Three progressive levels:

  1. Read for BI: combine sources in dashboards or reports without changing them. Usually the lowest-risk starting point.
  2. Synchronise: reconcile customer, item and price master data under defined ownership.
  3. Automate: execute cross-system processes, such as shop orders becoming ERP orders or PDFs becoming draft quotes.

Many SMEs can start with read-only reporting and reuse its connections for later stages.

Four phases#

  1. Inventory, typically 1–2 weeks: locate data, owners and copies, including spreadsheet processes.
  2. Define the goal: identify management metrics and the most costly manual process. Avoid connecting everything simply because it is possible.
  3. Connect: use official APIs while retaining source systems. Tools such as SeaTable can join the existing landscape.
  4. Operate: automate updates and monitor outages and unexpected records. Connections require care for as long as their systems operate.

Five common pitfalls#

  1. Master-data quality: differently spelled company names may appear as separate records. Clean and define matching rules first.
  2. API limits: rate limits and missing fields must be assessed before promising a flow.
  3. Bidirectional synchronisation: conflicts need clear ownership. Start with reading and add specific writes.
  4. Tool lock-in: chains of no-code connections can become costly and difficult to understand. Compare their total maintenance cost with owned, documented integration code.
  5. No operational user: a dashboard needs a real decision and working rhythm. An emailed weekly report may be used more consistently.

Planning costs#

ScopeTypical one-off range
Dashboard/report from 2–3 systemsCHF 5'000–15'000
ERP-to-CRM/shop master-data syncCHF 8'000–25'000
Process automationStandard modules from CHF 5'900; custom scope quoted separately

Source count, quality and write requirements determine effort. Monitoring and API/process changes add ongoing work, often starting at a few hundred francs monthly.

Our approach#

A free 10-day prototype demonstrates a defined flow using sample data before a wider investment. Continue with data integration and BI for reporting and analysis, or ERP and API integration for operational connections and automation.
